KEYAN MUSIC STUDIO

Policies & Commitments

Last updated: January 2025

Thank you for being part of Keyan Music Studio. These policies are designed to provide a clear, consistent, and positive experience for students and families while allowing the studio to maintain a reliable schedule and a high standard of instruction.

Registration & Payments

  • Securing Your Slot: Full payment is required at registration to secure your weekly recurring lesson time. Lessons cannot begin until payment is complete.

  • Continuing Students: To keep your day and time for the next term, payment must be received by the final lesson of your current program.

  • Late Fees: A $10 weekly late fee applies to all overdue balances.

Missed & Make-up Lessons

  • 24-Hour Notice: You must provide at least 24 hours' notice for an absence to be approved. Cancellations under 24 hours are forfeited and billed as completed lessons.

  • Term Allowances: A 5-lesson program allows up to 1 approved missed lesson. A 10-lesson program allows up to 2 approved missed lessons. A 20-lesson program allows up to 3 approved missed lessons.

  • No Refunds: Approved missed lessons are not eligible for cash refunds or tuition credits.

  • Scheduling Make-ups: You must request a make-up via the studio’s make-up booking link within one week of the missed lesson. Make-ups are subject to studio availability, must be completed within the current program timeframe, and cannot be rescheduled once booked.

  • No Term Extensions: Missed lessons will not extend your program's original end date (e.g., an 10-week program cannot become an 11-week program).

  • Vacation Pause: You may request one planned vacation pause of up to 2 consecutive weeks per calendar year. With advance notice, your time slot will be held, your program end date will be extended, and these absences won't count against your missed-lesson allowance. A planned vacation pause is the only pre-approved scheduled absence that permits an extension of the program end date.

Withdrawal & Ending Lessons

  • 4-Week Notice: To discontinue lessons, you must provide four weeks' written notice via text or email.

  • Tuition Responsibility: Tuition remains fully payable during these 4 weeks, whether the student attends or not.

  • Refunds: Any prepaid tuition beyond the 4-week notice period will be refunded.

Attendance & Studio Safety

  • Punctuality: Please arrive on time. Because lessons are booked back-to-back, time lost due to student lateness cannot be extended or made up.

  • Arrival & Departure: To protect student privacy and transitions, arriving families must wait in their vehicles until their exact lesson time. Please depart the premises promptly when the lesson ends.

  • Supervision & Liability: Parents/guardians are fully responsible for supervising minors before and after lessons. The studio assumes no liability for unattended minors on the property.

  • Studio Environment: The studio is strictly smoke-free, fragrance-free, and pet-free. Please do not use strong scents before visiting. The studio is not responsible for lost or damaged personal items.

Parents & Required Presence

  • Under 17 Policy: For all private, in-person lessons involving students under 17, a parent or designated adult must remain in the lesson room for the entire duration.

  • Purpose: Adult presence ensures safety, aids in note-taking, and supports effective home practice.

Privacy & Illness Pivots

  • Media & Recording: Students may record portions of their own lesson for home practice only with instructor permission. Do not photograph or record other students. The instructor will seek separate consent for any promotional media.

  • Illness Policy: Do not attend in person if experiencing symptoms of a contagious illness. If sudden illness prevents an in-person visit and 24 hours' notice cannot be given, the lesson will automatically pivot online at your normal lesson time.

  • Weather & Studio Cancellations: If hazardous weather makes travel unsafe, lessons will automatically pivot online at your normal time. If the instructor must cancel a lesson entirely and it cannot be rescheduled, a tuition credit or refund will be issued.

Studio Conduct & Enrolment

Keyan Music Studio thrives on mutual respect. The studio reserves the right to terminate enrolment immediately for:

  • Non-payment or repeated late payments.

  • Frequent, excessive absences or policy violations.

  • Disruptive, disrespectful, or unsafe behaviour by a student or parent.

  • Intentional or negligent damage to studio property.

Financial Responsibility: Because your weekly time slot is reserved exclusively for you, any prepaid tuition is non-refundable if enrolment is terminated due to policy violations. Families also remain legally and financially responsible for the actual repair or replacement costs of any damaged studio property.

Studio Guarantee: Conversely, if the studio must permanently cancel instruction and cannot provide your unused prepaid lessons, a full refund for those remaining lessons will be issued.

Our Commitment

Keyan Music Studio is dedicated to providing students with thoughtful, high-quality instruction, a positive learning environment, clear communication, and a consistent weekly schedule.

Thank you for respecting these policies and helping us create a community where students can truly learn, grow, and enjoy making music.
