Policies & Commitments

The Policies & Commitments applicable to a student's registration are those in effect at the time of registration.

Missed Lessons

We understand that plans can change, so limited flexibility is provided for missed lessons:

  • 5-Lesson Program: Up to 1 missed lesson

  • 10-Lesson Program: Up to 2 missed lesson

  • 20-Lesson Program: Up to 3 missed lesson

Please note that additional rescheduling beyond these limits cannot be accommodated.

Your lesson time is reserved specifically for you. A minimum of 24 hours’ notice is required for any cancellation or rescheduling request. Notifications must be made by text or email.

Cancellations or rescheduling requests made with less than 24 hours’ notice will be treated as a completed lesson and are not eligible for rescheduling, refunds, or credits.

Make-up Lessons

Lessons cancelled with at least 24 hours’ notice may be made up within the missed-lesson limits above, either by rescheduling to an available time or by distributing the missed lesson time across one or more remaining lessons within the current program. Make-up arrangements are subject to the teacher’s schedule and availability.

All make-up lessons must be completed within the current program’s original timeframe and cannot extend the program beyond its scheduled end date. For example, a 10-week program cannot be extended to 11 weeks through make-up lessons.

If a planned holiday or vacation is needed, one pause of up to two consecutive weeks per calendar year is permitted with advance notice. Your regular lesson time will be held during this period, and the program end date will be extended accordingly.

This is the only type of scheduled pause that permits the program end date to be extended. Make-up lessons and other missed lessons must still be completed within the program’s original timeframe.

Registration & Payments

To secure your place at Keyan Music Studio, full payment is required at the time of registration. This secures your lesson times throughout the selected program.

Payment for the following program is due at the last session of the current program, ensuring your continued enrolment without disruption.

Lessons commence once registration is complete. A late fee of $10 per week will apply to overdue balances.

Commitment

Regular attendance at weekly lessons is strongly encouraged, as consistent study is essential for meaningful musical development.

Students are responsible for arriving on time, as lost time due to lateness will not be made up.

If a student does not intend to continue into the next program, 3 weeks’ notice is expected, even if they may wish to return at a later date. This notice allows sufficient time for future scheduling and does not by itself entitle the student to a refund for unused lessons.

Students who do not register for the next program by their final scheduled lesson cannot assume their current lesson time will be reserved.

Withdrawal (20-Lesson Only)

Students enrolled in the 20-lesson program make a minimum commitment of 15 lessons. After completing this commitment, students may withdraw by providing at least 3 weeks’ written notice.

Following the notice period, any remaining unused lessons, up to a maximum of 5, are eligible for a refund.

Students enrolled in the 5-lesson and 10-lesson programs are not eligible for refunds of unused lessons.

Suspension of Students

Keyan Music Studio reserves the right to suspend students for non-payment of tuition or inappropriate conduct, including disrespect towards instructors, damage to studio property, repeated unexplained absences, or actions that jeopardize the safety or well-being of others.

Cancellation of Instruction

Keyan Music Studio reserves the right to suspend or discontinue lessons or a particular program when necessary, with notice where possible.

In such cases, tuition fees will be refunded for any remaining unused lessons.

Parents in Classes

For private lessons involving children under 17 years old, parental presence is required. Their participation assists with note-taking during class, facilitates communication with the teacher, and supports the establishment of a consistent practice routine at home.

Illness Policy

If a student is unwell, including with a fever, flu-like symptoms, or a contagious illness, they should not attend in-person lessons.

In the event of sudden illness when 24 hours’ notice cannot be given, an online lesson during the student’s regularly scheduled time may be offered as an alternative.

Recording Policy

To maintain a focused and comfortable learning environment, recording during lessons is only permitted with instructor permission. Short practice recordings may be allowed upon request.

Media Consent

Photos or short recordings may occasionally be used for educational or promotional purposes. Separate consent will be obtained where required.

Liability

Students and parents/guardians acknowledge that participation in lessons is at their own risk. Keyan Music Studio is not liable for injuries, accidents, or loss of personal belongings while on the premises.

Keyan Music Studio Environment

We prioritize the well-being and comfort of all students and visitors. Keyan Music Studio is a smoke-free, scent-free, and pet-free environment. Students and visitors are also encouraged to follow current public health guidance and to be mindful of others when unwell.
