POLICIES & COMMITMENTS (Last updated: January 2026)

Missed Lessons

  • We understand that plans can change, so flexibility is offered for rescheduling within the following limits:

    ✔️ 1 lesson in a 5-lesson term

    ✔️ 2 lessons in a 10-lesson term

    ✔️ 3 lessons in a 20-lesson term

  • Please note that additional rescheduling beyond these limits cannot be accommodated.

  • Your lesson time is set aside specifically for you, and a minimum of 24 hours’ notice is required for any cancellations or changes. Notifications can be made via text or email.

  • Lessons missed without 24-hour notice will be considered completed and cannot be rescheduled or refunded.

  • For holidays, one pause of up to two consecutive weeks per calendar year is permitted with advance notice. Lesson times will be held during this period. After this period, any unused lessons will be considered completed and are non-refundable.

Make-up Lessons

  • Lessons cancelled with at least 24 hours’ notice may be made up by rescheduling within the same week or by adding 20 minutes to remaining lessons within the current term, subject to the teacher's schedule and availability.

  • Make-up lessons must be completed within the current term and cannot extend beyond its original number of weeks. For example, a 10-week term cannot be extended to 11 weeks.

Registration & Payments

  • To secure your place at Keyan Music Studio, full payment is required at the time of registration. This ensures that your lesson times are reserved throughout the term.

  • Payment for the following term is due at the last session of the current term, ensuring your continued enrollment without disruption.

  • Lessons commence once registration is complete. A late fee of $10 per week overdue will be applied to any unpaid balances.

Commitment

Regular attendance at weekly lessons is strongly encouraged, as a commitment to the school year is essential for developing musical skills. Students are responsible for arriving on time, as lost time due to lateness will not be made up. If a student does not intend to continue lessons after their payment period, they are expected to provide a four-week notice, regardless of their plans to return. Please note that students who do not register for the next term by their final scheduled lesson cannot assume their time slot will be reserved.———————————————

Withdrawal (20-Lesson Only)

For students enrolled in the twenty-session registration period, a minimum commitment of ten lessons is required. If a student wishes to discontinue lessons after fulfilling this commitment, they must provide written notice at least four weeks in advance. Upon withdrawal, students will be charged for an additional four lessons, which they may choose to attend. Please note that students enrolled in the five-lesson and ten-lesson registration periods are not subject to a termination policy.

Suspension of Students

Keyan Music Studio reserves the right to suspend students fornon-payment of tuition or inappropriate conduct, including disrespect towards instructors, damage to studio property, unexplained absences, or actions that jeopardize the safety or well-being of others.

Cancellation of Instruction

Keyan Music Studio reserves the right to withdraw any course or level of instruction, or to suspend or discontinue lessons, at any time, with notice where possible. In such cases, tuition fees will be refunded for any remaining unused lessons that are cancelled due to the withdrawal or closure.

Parents in Classes

For private lessons involving children under 17 years old, parental presence is required. Their participation assists with note-taking during class, facilitates communication with the teacher, and supports the establishment of a consistent practice routine at home.

Illness Policy

If a student is unwell (including fever, flu-like symptoms, or contagious illness), they should not attend in-person lessons. In the event of sudden illness where 24-hour notice cannot be given, an online lesson during the student's regularly scheduled time will be offered as the primary alternative. This ensures the student does not miss their instruction and the teacher’s schedule remains consistent.

Recording Policy

To maintain a focused and comfortable learning environment, recording during lessons is only permitted with instructor permission. Short practice recordings may be allowed upon request.

Media Consent

Photos or short recordings may occasionally be used for educational or promotional purposes. Separate consent will be obtained where required.

Liability

Students and parents/guardians acknowledge that participation in lessons is at their own risk. Keyan Music Studio is not liable for injuries, accidents, or loss of personal belongings while on the premises.
